Administrative Officer
About the Role
The Administrative Officer is the operational backbone of OnRoute Transport Group. You will sit at the heart of the business, connecting drivers, customers, and management through clear communication, careful record-keeping, and proactive problem-solving. Your work will directly support our ability to deliver safe, compliant, and reliable transport services every single day.
Key Responsibilities
- Manage, update, and maintain all company operational spreadsheets and registers including the Driver Register, Vehicle Fleet Register, Booking Log, etc.
- Monitor expiry dates for driver licences, DBS certificates, vehicle documents, and insurance, and send advance alerts
- Ensure all records are accurate, up to date, and compliant with company SOPs and licensing requirements
- File and organise all documents — physical and electronic — in a structured, retrievable format
- Support the preparation and submission of compliance documentation
- Assist in preparing route schedules, driver allocation sheets, and daily operational plans
- Act as the primary point of contact for drivers on day-to-day administrative matters
- Answer incoming telephone and email enquiries from parents, carers, schools, and partners
- Handle customer queries, complaints, and feedback with care and professionalism
What You Need
- Previous experience in an administrative, office coordination, or customer service role
- Excellent attention to detail — you notice things others miss
- Strong organisational skills with the ability to manage multiple tasks simultaneously
- Proficiency in Microsoft Excel and Microsoft Office (Word, Outlook)
- A confident, professional, and friendly telephone manner
- Good written communication skills
- Discreet and trustworthy — handling sensitive personal data
- Right to work in the United Kingdom
